This Privacy Policy explains how Sapient Clinician LLC (“Sapient,” “we,” “us”) collects, uses, and discloses personal information through our website at www.sapientclinician.com and our virtual patient simulation service (together, the “Service”). Your use of the Service is also governed by our Terms of Use.

Your Relationship With Us

Through your institution. If your account is provisioned or managed by a school, university, or other organization (your “institution”), we process your information on behalf of that institution. Your personal information and your work in the Service are accessible to your institution, and requests concerning that information are directed to your institution. Where Sapient has an agreement with your institution, that agreement governs how your information is collected, used, retained, and deleted, and takes precedence over this Privacy Policy to the extent the two differ. Otherwise, this Privacy Policy applies.

As an individual subscriber. If you purchase a personal practice subscription directly from us, this Privacy Policy governs our handling of your information.

Information We Collect

Account and profile information, such as your name, email address, and professional or educational profile information. If you sign in with a third-party identity provider, we receive your name and email address from that provider.
Content and activity, such as your interactions with simulated patients and other AI personas, assessments, feedback, and materials you create or upload. In voice mode, your audio is processed in real time to provide the feature and is not retained.
Payment information, which is collected and processed by our payment processor.
Technical and usage information, such as log, device, and usage data related to your use of the Service.

How We Use Information

We use personal information to provide and administer the Service, secure and support your account, send account notifications and product updates, process payments, and improve the product.

Content you submit is processed by third-party artificial intelligence providers to power the Service’s features, such as simulated interactions, scenario creation, and assessment and feedback. Your information is never used to train artificial intelligence models.

We do not sell personal information or use it for third-party advertising.

We share personal information only:

With service providers that perform services on our behalf and are required to protect it.
With your institution, where your account is managed by your institution.
With other users, to the extent your profile information is visible to users you interact with in the Service.
At your written request.
Where required by law or legal process, or to protect the safety of any person, investigate fraud or abuse, or enforce our Terms of Use.
In connection with a merger, acquisition, or sale of the Service, in which case we will notify you before your information becomes subject to a different privacy policy.

How Long We Keep Information

We retain personal information for as long as reasonably necessary for the purposes described in this policy and to comply with legal obligations. Where your institution has an agreement with us, retention is governed by that agreement.

Your Rights and Choices

You can review and update your account information in the Service, and you may request access to, correction of, or deletion of your personal information by contacting support@sapientclinician.com. If your account is managed by an institution, we will refer your request to your institution and support it in responding.

Cookies and Do Not Track

The Service uses cookies and similar technologies to keep you signed in, operate the Service, and understand how it is used, including through analytics services. We do not use advertising cookies. Third parties do not collect information about your online activities over time and across other websites through the Service. We do not respond to browser “do not track” signals.

Security

We protect personal information with technical and organizational safeguards, including encryption in transit and at rest and access controls. No method of transmission or storage is completely secure. Please notify us at support@sapientclinician.com of any suspected unauthorized use of your account.

Children’s Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have, we will delete it promptly.
